Race Policies
Withdrawals
If you need to withdraw because of injury, work or family emergency, we will honor all requests with full credit applied to another event or we can also rollover to the following year. All registration cancelations must be made 7 days prior to the event date. There are no cash refunds.
Cancellation Instructions: If you need to cancel your registration, YOU will need to withdraw from the race via your UltraSignup account in order to get the race credit, as we cannot do it for you and will not apply credit retroactively. Please follow these steps to CANCEL your race registration:
Login to your UltraSignup account
Click “Registration History” under your account name
Scroll to the race you need to cancel and click “Edit”
Click on “Cancel Registration”
Choose “Event Credit”
Once complete, the credit is tied to your account and will automatically apply during registration for your next Mountain Running Races event.
Refunds
There are no cash refunds, however all runners are given 100% credit towards a future VRS event if you cancel 7 days prior to the event date. We understand that issues arise at the last minute that can prevent a runner from arriving at the start line. We incur most costs early on in the planning process, and this policy represents our ability to reasonably provide something to runners who cannot attend, while keeping our entry fees low and quality high. Pregnancy Deferral:
Any registered runner who becomes pregnant during the months preceding their race may opt for a Pregnancy Deferral. Please email a doctor’s note to us and we will happily honor the fact that you are bringing a new and precious trail runner into the community. The deferral is valid for two years. In order to be considered for a Pregnancy Deferral, please notify us 30 or more in advance of your race date.
Transfers
We allow transfers when registration is still open. All transfers must go through our office. Please email us and we’ll help to make it an easy process without a fee.
Event Cancellation or Postponement
We are always looking out for the safety of our trail running family from participants, volunteers, staff and spectators. These could occur because of weather conditions, poor air quality, closed trails/roads and dangerous animals.
If Air Quality Index (AQI) is 150 and higher, we will postpone or cancel the event in order to protect our participants from any temporary or long-term lung damage.
If the reason for cancelling the race is something out of our control like something weather, forest fire or COVID related, we will offer runners a 50% credit towards a future race as we see it both the runners and Mountain Running Races LLC share the risk of a cancelled race equally.
We will do our best to contact all participants in as far advance as possible. There may be times when this is impossible due to the nature of the situation.
Non-binary
We accept each athlete’s declared gender at face value, with no additional supporting evidence required. Non-binary athletes will be indicated with an X or N (depending on the software) in the gender field for results. There will also be top three awards including equal cash awards for non-binary athletes in addition to the awards for the top three men and top three women.
Challenges of Results Involving Transgender and Non-Binary Athletes
Challenges may be made to results, which are directly related to an athlete’s self-declared gender, only when a top 3 position is at stake. The person challenging must be an athlete and, in a situation, where they would gain a podium placement. A challenge must be made in writing or email to the Race Director within 10 days of race completion and must be submitted privately and with the utmost discretion and respect for all parties involved.
The Race Director will review relevant facts, make a final decision, and notify all parties involved over email.
No party may publicly post or discuss a challenge until a decision has been reached. All information about the athlete’s gender identity and medical information, including any information provided pursuant to this policy, will be kept strictly confidential.
Trail Family Environment
We are a trail family who come together and share life experiences together whether on the trail or off. We will not tolerate or condone bullying, hate language or any other derogatory form that is degrading to another person at our events.
